Position summary
The Administrative Assistant will be responsible for answering the company main phone line, coordination of workplace events, data entry, reporting and administering special projects.
Essential Job Functions
· Greet visitors and ensure the security of the guest process
· Reception and access control for contractors, visitors, and suppliers
· Vehicle access control and parking usage
· Control of communication screens in the reception area and cafeteria
· Management of the menu system and weekly lunch schedule
· Creation and management of a file for cafeteria deductions for weekly and bi-weekly payroll
· Support in organizing social activities, training, etc.
· Coordination of visitors and guest transportation
· Coordination of building signage with suppliers
· Office and cleaning supply control
· Creation of a file for cafeteria deductions for weekly and bi-weekly payroll
· Receipt, tagging, and updating asset receipt files. I would be responsible for reviewing the documentation and completing the forms with AFC's assistance
· Organization and control of the storage areas in the office space.
· Coordination and purchase of uniforms, safety shoes and PPE.
· Support for contractors for delivery and installation
· Coordinate employees badge printing.
· Work on various projects assigned by the Leadership team
· Coordinate corporate workplace events and programs
· Manage ordering and stocking of office supplies and maintenance of office equipment
· Participate in Accounting and Human Resources project work
· Distribution of incoming calls
· Coordination of outgoing and distribution of incoming mail
· Support and comply with the company Quality System, ISO, and medical device requirements
· Partner with other business segments: sales/marketing, customer service, engineering, quality, and finance
· Understand customer needs and the core business markets we serve
· Participating in required company meetings
· Maintain an organized work area (5S)
· Participating in the Operational Excellence Program
· Complete all other work duties as assigned
· Ability to work in a manufacturing environment
Minimum Requirements, Education & Experience (incl. KSA’s and certifications)
· High school diploma or equivalent (GED) degree
· Microsoft Office proficiency (Outlook, Word, Excel, PowerPoint, Publisher)
· Clear and effective verbal and written communication skills
· Attention to detail
· Organizational skills
· Ability to work in a fast-paced team environment
· Ability to prioritize and multitask
Desirable Criteria & Qualifications
· 1 year of experience
· Manufacturing experience
· Continuing Education; including participation in local chapters, associations, and/or organizations
